In some cases, users may notice the same prescription (Rx) number appearing more than once in a report. This can happen when the data submitter includes multiple records with the same Rx number in their file submission.
PMP Clearinghouse does not treat an Rx number alone as a unique identifier. Instead, a record is only considered a duplicate if all of the following fields match exactly:
- PHA03 – DEA Number
- DSP02 – Prescription Number
- DSP05 – Date Filled
- DSP06 – Fill Number
- DSP09 – Quantity Filled
- DSP13 – Partial Fill Indicator
If any one of these fields differs, the record is accepted as a new submission.
For example, if the quantity filled (DSP09) is different, the system will treat it as a separate (new) record —even if the Rx number and other fields are the same.
To prevent unintended duplicate records:
- Ensure each submission accurately reflects the intended fill event (e.g., original fill vs. partial fill vs. correction).
- Double-check that updates or corrections are not submitted as entirely new records unless appropriate.
- When possible, maintain consistency across key fields—especially fill number, quantity, and partial fill indicator—to clearly distinguish legitimate changes from accidental duplicates.
